To
ensure the enjoyment of your Small Families holiday we urge you to read
the following booking conditions and important information before
booking your holiday.
BOOKING
LATE -
Important Information
All
airlines insist that we adhere to strict deadlines for releasing any
unsold seats back to them; this deadline is normally 8 weeks before the
departure date of the holiday. For bookings made inside this
period, it is often not possible to obtain a seat(s) for you on
the same flight as our group or at the same group fare. This may
also apply if we have sold all of our original flight allocation.
In either case it may mean additional costs for either the flight or for
an individual airport to hotel transfer on top of the published price of
the holiday. These additional costs can be considerable, we therefore
strongly recommend that you book your holiday in plenty of time, at
least a minimum of 8 weeks before the departure date to avoid this risk, although we
do appreciate this may not always be possible.
Holiday Booking
Your contract with Small Families is made once the following steps have
been taken. A) You have paid the required deposit together with the
correct insurance premium (if required). B) Small Families has sent a
confirmation invoice to you. Your contract commences on the date of
issue of your invoice. It is important you check your invoice carefully
especially the spelling of names against those in your passports, and
raise any queries immediately upon receipt. Airlines impose additional
charges to amend incorrect bookings.
Your
contract with Small Families is governed under English law and is
subject to the exclusive jurisdiction of the English courts.
Small Families reserve the right to cancel or refuse to accept any
booking at any time.
Holiday Payment (overseas travel)
Balance payments for your holiday must be made to Small Families at the
latest 8 weeks prior to departure. If you book less than 8 weeks
prior to departure, payment in full must be made when you book.
Payment may be made by cash, cheque, bank transfer, debit or credit card,
(note: payments by credit card are subject to a 2% surcharge). Residents
outside the UK may, if they wish, transfer cash into our Euro account,
details available on request.
Holiday Payment (UK weekends)
Balance payments for your holiday must be made to Small Families at the
latest 4 weeks prior to departure. If you book less than 4 weeks
prior to departure, payment in full must be made when you book.
Payment may be made by cash, cheque, bank transfer (bank details
available on request), debit or credit card,
(note: payments by credit card are subject to a 2% surcharge).
Deposit Payments A non-refundable* deposit of:

£100 per adult and £50 per child
(under 12 years) for UK holidays and European holidays
-
£200 per adult and
£100 per child (under 12 years) for Cruises and Long Haul holidays**
-
£30 per adult and
£15 per child (under 12 years) for UK weekends.
will
be required to confirm your booking. The final balance due date will be
shown on your Confirmation Invoice.
*If you need to cancel prior to departure for reasons covered by your
travel insurance, you should be able to claim a refund of monies paid
(excl: any policy excess that may apply), provided you meet the conditions of the
policy.
If You
Alter Your Confirmed Booking
If you wish to alter or transfer your booking to another date or holiday
after we have issued your confirmation invoice, we will do our best to
arrange this. You must write to us with details of the alteration
requested. There will be an administration charge of £15 for all
holidays. If you have taken holiday insurance, this may no longer be
valid depending on the nature of the change, in which case, new
insurance will need to be acquired. Note: Changes made 55 days or less before departure
(or 27 days or less for UK weekends) will incur 100% cancellation charges.
Financial Protection
In accordance with EC Regulations, all clients of Small Families on
holidays involving air travel are fully protected under our bonding
agreement with the Civil Aviation Authority (CAA). This agreement exists
under our ATOL Licence 5801. For further information please visit
www.atol.org.uk.
Passport Validity
A valid passport is required for overseas travel. In general
your passport must be valid for at least 6 months after your
return to the UK, however, this regulation is subject to change and can
also vary from country to country. Please ensure your passport validity
complies with the regulations for the country you are visiting.
Included in Your Holiday Price

The
services of a Small Families Tour Manager.

Economy class group travel on scheduled or charter services with
IATA air carriers and other airlines from the UK as per the
itinerary.
(Airfares are based on group travel and changes of reservations are
not permitted). 20kgs
baggage allowance per person unless otherwise specified (Infants
under 2 years are
not entitled to any baggage allowance).

Accommodation as requested.
-
Meals
as specified.
-
UK
departure and all government taxes and compulsory charges.
-
Return group transfers between airport and hotel in resort unless
otherwise stated.
-
Group
gratuities. (excluding room services and hotel bars).

Group
activity/excursion packages when advised that they are part of the holiday
price.

Visa
fees (where applicable)

Independent travel to/from UK resort hotel or UK departure airport.

Additional and unexpected compulsory charges, including increased fuel costs,
charges introduced by
government or suppliers, however, this website will be updated
immediately where such increases (or decreases) occur.
If
You Cancel Your Holiday
Should you wish to cancel your confirmed booking, notification must be
in writing. Verbal notification is not sufficient. Once travel
documents have been issued and or monies paid to suppliers, it is not
possible to obtain refunds. It is therefore essential that adequate
holiday insurance is obtained at the time of booking, (especially for
overseas holidays).
Charges
will apply from the date on which written notification is received by
Small Families to compensate us for losses and expenses incurred in the
original booking. Those charges are as follows:
For overseas holidays
56 days or more prior to departure - loss of deposit and insurance
premium*
55 days or less prior to departure - 100% and insurance premium*.
For UK Weekends
28 days or more prior to departure - loss of deposit (and insurance
premium if applicable)*
27 days or less prior to departure - 100% and insurance
premium (and insurance
premium if applicable)*
* Under Insurance regulations, cover cannot normally be transferred to
another holiday and therefore would be forfeited. If you have
to cancel for a reason covered by your insurance policy (whether
arranged through Small Families or not) you should be able to make a
claim to recover your costs already incurred (excluding the policy excess) provided you
follow the procedure laid down by the insurers.
If We Cancel Your Holiday
In exceptional circumstances it may be necessary, at Small Families
discretion, to cancel your holiday. If this situation arises you will
be offered an alternative holiday of comparable standard (if available).
Where this is not possible, a full refund will be made of all monies
paid. Small Families will not cancel your holiday within 6 weeks of
departure (4 weeks for UK weekends)
except for unexpected circumstances outside our control
including any bulk late cancellations that may then render the whole
departure inoperable.
Circumstances outside of our control include but are not limited to
war, threat of war, riot, civil strife, industrial dispute, terrorist
activity, natural or nuclear threat/disaster, fire or adverse weather
conditions. If cancellation or curtailment of your holiday occurs as a
result of circumstances beyond our control, the consequences of which
could not have been avoided or foreseen, even with all due care, Small
Families will not pay any compensation, nor be responsible for any costs
or expenses incurred by you as a result.
If We Change Your Booking
Whilst everything will be done to ensure accuracy, Small Families may occasionally have to change your holiday
arrangements or part of them. Most alterations are minor and should not
affect the overall enjoyment of your holiday. If we have to make
significant alterations to your holiday arrangements we will notify you
as quickly as possible.
You may then a) accept the change and be issued with new documents.
b) Take an alternative holiday subject to availability,
with a cost adjustment depending on whether the alternative holiday is
of a higher or lower price. c) Withdraw from the booking completely, in
which case Small Families will make a full refund of all monies paid by
you. Significant changes include the following: A change of UK
departure airport, other than between all London airports (Heathrow, Gatwick, Stansted, Luton
and London City). Change of time of departure or arrival by more than 12
hours; change of resort or change of accommodation to that of a lower
category.
Special
Requests
Should you have a special request that does not form part of the
arrangements, please inform us in writing.
We will do our best to comply but we cannot guarantee to do so and it
will not form part of our contracted obligations. Requests for special
in-flight meals (vegetarian, gluten free etc) should be made at the time
of booking, (please be aware
that any such requests cannot always be guaranteed). Any such request
made at a later time cannot be guaranteed although we will make every
effort to comply with your requests.
Minimum
Numbers
Each of our holidays is based on a minimum number and we reserve the
right to cancel a tour if such numbers are not reached. You will then
have the choice of booking an alternative holiday with us, changing your
departure date, or receive a full refund; no additional compensation
will be paid.
Small
Families Responsibility To You
Small Families accepts liability for any loss or damage suffered by you
by the failure to perform or the improper performance of the contracted
holiday arrangements unless the failure or improper performance is
attributable to a) yourself, b) a third party unconnected to the
provision of the holiday arrangements contracted for and is
unforeseeable and unavoidable or c) unusual or unforeseeable
circumstances beyond our control, the consequences of which could not
have been avoided even if all due care had been exercised or to an event
which Small Families or the relevant supplier of the services could not
foresee or forestall even with all due care.
Flight Timings
Where flight timings are given, they are for your guidance only, and can
be subject to change by the airlines, in most cases, any time changes
are of a minor nature. Should there be a significant flight time
change, we will inform you directly as soon as we are informed by the
airline. We have no control over flight
time changes and you should refer to your tickets for final confirmed
timings.
If You Have a Complaint
If you feel you have cause for complaint whilst on holiday, this must be
brought to the attention of the Small Families Host
or local
representative immediately,
so that
action can be taken to remedy the problem. Failure to report your
complaint whilst in the resort will jeopardise any claim. Should the
host or
representative
be unable
to resolve the problem in resort, then details of the complaint should
be notified to Small Families in writing within 14 days of the end of
the holiday.
Flight
Delays
Obviously we cannot guarantee that your flight will not be subject to
delay. However, any such delay is the responsibility of the carrier and
Small Families cannot accept responsibility for any such occurrence.
Small Families cannot take responsibility for the delay or cancellation
of any domestic connecting flight made by the client directly with the
airline. We strongly advise when booking a domestic flight to ensure
you allow sufficient time between the two flights to allow for possible
delays of the domestic flight.
Holiday
Prices
Small Families reserve the right to revise surcharges prior to departure
due to UK or foreign government action, increases in VAT, major currency
fluctuations, departure
taxes, sudden increase in transport costs and levies. In this case we
will absorb an amount equivalent of 2% of the holiday price (excludes
insurance premiums) and any amendment charges. Only amounts in excess
of this 2% will or may be surcharged. If this extra cost exceeds more than 10%
of the holiday price, you will be entitled to cancel your holiday with a
full refund of all money paid, excluding any premium paid to us for
holiday insurance and amendment charges. Should you decide to cancel
because of this, you must exercise your right to do so within 14 days
from the issue date printed on the invoice.
Holiday Insurance
It is imperative that you are adequately insured for overseas holidays
ensuring that your policy provides, in particular, cover for medical
expenses, emergency treatment and repatriation where necessary.
Comprehensive travel insurance is available through Small Families,
however, if you wish to arrange
your own travel insurance, we ask that you advise us of the company name and emergency contact details, should
we need to contact them on your behalf while you are on your holiday.
Health & Safety
We have contracts for accommodation and other arrangements with
suppliers who we have taken reasonable care to ensure have good
reputations and run safe and efficient businesses. We will monitor and
control the performance of our suppliers and judge their performance
against the standards and customs in the country where the services are
provided.
Crime is a fact of life in all countries of the world and
you need to remain as vigilant and take the same safety precautions as
you would in the UK.
Inappropriate Conduct
Any person considered to be behaving in an antisocial manner and/or
under the influence of alcohol or drugs may be refused boarding or
removed from any flight. If in the reasonable opinion of our host,
hotel manager or any other person in authority, your behaviour is
causing danger, damage or affecting the enjoyment of others, we reserve
the right to terminate your holiday. Small Families can take no
responsibility for any additional expenses incurred or loss of holiday
by individuals in any such circumstances. The company cannot accept any
responsibility for the actions of other people outside its control.
Air Conditioning
Please note that some hotel air conditioning systems may not always operate
outside the main summer season of July & August.
Climate
& Conditions
Any information given is for guidance only. Climate changes across the
world in recent years have made it impossible to predict weather
anywhere. As it is never possible to predict the weather accurately, we
cannot be held responsible for un-seasonal weather conditions at the
time of your holiday.
Data
Protection
Your personal information will be treated with the strictest confidence
and will not be passed on to any third party who is not directly
involved with your holiday arrangements.
Website Accuracy
Every care has been taken to ensure that
the information contained is accurate and up to date. However, mistakes can be made and changes may occur, so please check the details of your holiday with
Small Families when making your booking. Any errors noted will be
corrected as a matter of urgency. Please check the ‘News’ page for
any updates and general information.
Small Families Privacy
Statement
We do not collect personal information about you when you
browse our website, the only information we collect is that which is
freely given to us by you.
When you are added to our mailing list or make a booking with
us, we need to collect certain personal information (your name, address
and contact numbers etc) to enable us to process your request. We
only use this information when contacting you, regarding your holiday or
any query. We do not pass on your personal information to any
third parties. Those same personal details are held on a secure
database.
Cookies
Small
Families do not use cookies on your computer to capture any information.
Data
Protection Act
At no time will Small Families sell, rent, or trade your
personal information to any third parties without your permission.
Opting-out
We may
send you newsletters and other information via e-mail from time to time.
If you wish to be removed from the database, we will do so upon
instructions from you.
